How to Avoid Creating Duplicate Patients in Claimocity Mobile

Duplicate patient profiles cause discrepancies in patient records and billing information. Avoid duplicate patient issues using the following tips.

Integrated Facilities 

  • If your facility is integrated, as indicated by the Claimocity Connect icon, you want to refrain from manually adding patients. 
  • The Claimocity Connect icon is shown at both the facility and patient levels.  

 

Connected Facility

Tip: Non-connected patients can appear in a connected facility's census.  This occurs when patients are manually added to a connected facility. 

 

  • If a patient does not appear in your census, utilize the search function within Claimocity to locate and add the visit.  This ensures that patient information remains accurate and up to date.  

 

  • If you cannot locate a patient using the search function, please promptly inform our support team to ensure there is no integration issue.  
    • Email support@claimocity.com with the Patient's Name, DOB, and Name of the connected facility.  

 

Tip:  If you bill an encounter and complete the note using a manually added patient profile, the note will not sync to the connected software system.  This can lead to discrepancies in patient records and billing information. So, we strongly suggest against manually adding patients to integrated facilities. 

 

Non-Integrated Facilities

  • For non-integrated facilities, you will manually add patients at their initial encounter.  Upon clicking the blue "+" icon you will be taken to the Add a Patient Visit page.  
  • You will be taken to Patient Search when you enter the patient's name.  You will be presented with any patient whose name matches the letters you enter. 
  • Please ensure that you carefully review any potential matches before proceeding with adding a new patient. 

 

 

Tip:  Spaces are recognized as characters. Please take a look at the screenshot below that does not identify patients with the last name Ford if it is entered with a space afterward. 

 

Tip:  Patients with the same name but different dates of birth are identifiable by the DOB shown beside the patient's name.
